A photo taken on a modern smartphone is typically 3–8 MB. A DSLR or mirrorless camera image can easily run 20–40 MB in RAW format, or 5–12 MB as a JPEG. Gmail's attachment limit is 25 MB total per email. Outlook is similar. When you're trying to send three or four photos at once — or even just one high-resolution image — hitting that wall is a familiar frustration.
The solution is straightforward: compress and resize before sending. Here's exactly how to do it, what targets to aim for, and what you lose (and don't lose) in the process.
Understanding Why Images Are So Large
A 12-megapixel photo contains 12 million individual pixels. Each pixel stores color information as three values (red, green, blue), each at 8 bits of depth. Uncompressed, that's 36 million bytes — about 34 MB — for a single photo. Camera manufacturers apply compression when saving, which brings that to 3–8 MB for a typical JPEG, but even compressed, modern photos are large files by email standards.
There are two independent levers for reducing image file size: compression (reducing the amount of data used to represent the same pixel count) and resizing (reducing the pixel count itself). For email use cases, both usually apply — and resizing typically has a larger impact than compression alone.
What Size Should You Target for Email?
The right target depends on what the recipient will do with the image:
For viewing only (the recipient just needs to see the photo): 1200px on the longest side is more than sufficient. At this size, the image fills most laptop screens at full resolution and still looks sharp on mobile. A JPEG compressed to 80–85% quality at this size typically comes out at 150–400 KB — a fraction of the original and well within any email size limit.
For printing at standard sizes (4×6, 5×7, or 8×10 inch prints): The recipient needs more resolution. For a 4×6 print at 300 DPI, the minimum is 1200×1800px. For an 8×10 print at 300 DPI, you need 2400×3000px — which at reasonable compression comes out around 2–4 MB. That's still sendable, but if you're sending several, you'll hit limits quickly. In this case, consider whether the recipient actually needs print-quality files or just a preview — send the preview by email and use a file-sharing service for the originals.
For professional or archival use (a photographer delivering client files, someone sending originals for further editing): Don't compress for email. Use a file transfer service like Google Drive, Dropbox, or WeTransfer instead. Email is not the right delivery mechanism for full-resolution professional images.

For a photo you're sending by email, the process is:
Step 1 — Resize first if needed. If your image is larger than you need (a 4000px-wide photo being sent for on-screen viewing), resize it down before compressing. Use the Image Resizer to set the longest side to 1200px (or whatever your target is). Resizing has a much larger impact on file size than compression — halving the linear dimensions quarters the pixel count and roughly quarters the file size before compression even runs.
Step 2 — Compress. Open the Image Compressor, upload your resized image, and set quality to 80–85%. Check the output file size — for a 1200px image this should be well under 500 KB. If it's still larger than you want, drop to 75% quality. At 75%, JPEG compression artifacts may start to become visible on close inspection, but for casual viewing the image will still look excellent.
Step 3 — Check before sending. Open the downloaded file and view it at 100% zoom before attaching to your email. The artifacts from JPEG compression show up most at sharp edges and fine detail — text in screenshots, fine hair, and geometric patterns. If you see obvious degradation, back up to a higher quality setting.
How to Compress Multiple Images for Email

Format Choice: JPEG vs. PNG for Email
For photographic images being sent by email, JPEG is almost always the right choice. JPEG's lossy compression achieves far smaller file sizes than PNG for photographic content, and the quality loss at 80–85% is not perceptible in normal viewing.
PNG is the right choice for screenshots, graphics, illustrations, and anything with large areas of flat color, text, or sharp geometric edges. JPEG compression introduces visible artifacts on high-contrast edges — text in a screenshot saved as JPEG at high compression looks visibly degraded, while the same screenshot as PNG remains sharp at a reasonable file size.
The practical rule: if it came from a camera, use JPEG. If it's a screenshot or graphic, use PNG. If you have a PNG photograph (which sometimes happens when images are exported from editing software), convert it to JPEG first using the PNG to JPG tool — the file size reduction will be significant.
HEIC Images from iPhone: Convert Before Sending
iPhones shoot in HEIC format by default, which is highly space-efficient on the device but poorly supported as an email attachment. Many recipients on Windows or Android can't open HEIC files without installing additional software. Always convert HEIC images to JPEG before sending by email — the HEIC to JPG tool handles this conversion in your browser, and the resulting JPEG will open on any device.
HEIC files are already quite compressed on the device. After converting to JPEG, check the file size — if it's already under 1 MB, you may not need to compress further unless you're sending a large batch.
Stripping EXIF Data Before Sending
A point worth raising whenever you're preparing images for email: photos from smartphones and cameras embed location data (GPS coordinates), device model information, and other metadata in the image file as EXIF data. When you email a photo, this metadata travels with it — which means the recipient can see exactly where the photo was taken.
If you're sending photos of your home, your regular locations, or anywhere you'd prefer to keep private, strip the EXIF data before sending. When Email Isn't the Right Tool
Email has size limits for a reason — it wasn't designed as a file transfer protocol. When you need to send high-resolution originals, a large batch, or files totaling more than 20 MB, use a dedicated sharing service instead:
Google Photos and iCloud shared albums let you share full-resolution originals without size constraints, and the recipient views them in a browser without needing to download anything. Google Drive and Dropbox let you share a folder link rather than attaching files. WeTransfer handles large one-time transfers up to 2 GB for free.
In any of these cases, the workflow is: compress and resize a preview set for the email itself (so the recipient can see what you're sharing), then include a link to the full-resolution originals in the email body. The recipient gets an immediately viewable preview and access to the originals when they need them.
